Description About the opportunity We have an opportunity available for an experienced Legal PA/Paralegal to provide support in a hybrid role for a Partner and small team of lawyers. This role sits within the CAD team focused on supporting clients with back-end construction and infrastructure disputes. You will be a key member of the team, heavily relied on for your exceptional organisational skills, providing administrative and paralegal support on high profile energy and infrastructure projects primarily with major contractors and developers. Being a confident communicator will be a necessary skill as you will engage with clients and senior internal stakeholders on a regular basis. You will also be part of a friendly and collaborative team of Legal PA's, with many opportunities to get involved in firm wide initiatives across a range of areas including health and wellness, diversity and inclusion, and social. Key areas of focus Legal PA Support team of lawyers with their day-to-day tasks by proactively monitoring emails, phone calls and voicemails, managing diaries, booking travel, processing expenses, and troubleshooting any issues that arise Drafting and preparing correspondence, presentation slides, and other materials, and general document production by way of copying and printing Matter administration management ensuring all emails and hard copy correspondence are accurately filed in a timely manner, attending to archiving as required Supporting the client and matter engagement process by setting up new matters, ensuring compliance through conflict searches and anti-money laundering checks, and preparing engagement letters Deliver excellent service to the firm's clients by building and maintaining effective relationships, developing knowledge of team clients and their business, and organising client dinners and events Assist with client billing through the firm's Aderant billing system, complete cheque requisitions, process third party invoices, trust money, and BACS authorisations Provide support to the PA team by providing cover when PA's are absent, occasionally providing cover on reception, and ensuring the office environment is well maintained Paralegal Assist lawyers with the day-to-day operations of matter and client management Prepare matters for conferences and hearings, including preparation of court documents, legal documents, briefs to counsel, and general correspondence Draft and format routine legal documents and correspondence for review by lawyers Coordinate meetings with counsel and others parties, and liaise with relevant tribunals and courts as required Attend client and internal meetings to take minutes Correspond, brief and liaise with clients and experts, assisting with their lines of enquiry Attend to client discovery, categorising and interpreting data Assist with legal review exercises including reviewing documents Conduct legal and general research as required Candidate profile Relevant experience Experience operating as a Legal PA at a senior level Experience providing paralegal support within a litigation practice Exposure to the construction and infrastructure or energy sectors favoured, although not a must Strong document production skills and confident using Microsoft Word, Outlook and PowerPoint Experience using file management, expense management, time recording and billing software (we use FileSite, Chrome River, Carpe Diem, Aderant) Experience using legal research tools such as LexisNexis and Westlaw AU Key skills and behaviours A confident communicator with the ability to engage with varied client and stakeholder audiences Good written communication skills with strong attention to detail Proactive and comfortable taking initiative when faced with new challenges Strong organisational skills and ability to handle multiple priorities Demonstrate a high level of discretion and confidentiality at all times Be an effective team player and bring energy and passion to the role!
