Description About the opportunityWe are seeking an experienced, proactive and motivated legal assistant to support a Partner and team of fee earners in the Construction, Advisory and Disputes team in Australia. This is a shared role, working Thursdays and Fridays each week. You will need to be comfortable working within this capacity, being organised with excellent communication skills. This is an exciting opportunity to work for a Partner, along with a team of lawyers, in a fast-paced and high energy role that is full of variety. This role needs an individual with a mix of legal secretarial and PA capability as you will provide administrative support on litigation construction matters. You will require a high attention to detail as you will be assisting with the production of litigation documents including preparing briefs, court documents and witness statements. Being a confident communicator will be a necessary skill as you will engage with clients and senior internal and external stakeholders on a regular basis. You will be part of a friendly and collaborative team of Legal PA's, with many opportunities to get involved in firm wide initiatives across a range of areas including health and wellness, diversity and inclusion, and social. Key areas of focus Support team of lawyers with their day-to-day tasks by proactively monitoring emails, phone calls and voicemails, managing diaries, booking travel, processing expenses, and troubleshooting any issues that arise Drafting and preparing correspondence, presentation slides, and other materials, and general document production by way of scanning, copying and printing Matter administration management ensuring all emails and hard copy correspondence are accurately e-filed in a timely manner, attending to filing as required Supporting the client and matter engagement process by setting up new matters, ensuring compliance through conflict searches and anti-money laundering checks, and preparing engagement letters Deliver excellent service to the firm's clients by building and maintaining effective relationships, developing knowledge of team clients and their business, and organising client dinners and events Use of data rooms, assisting with eDiscovery and Court e-filing platforms and assisting with the record keeping and file management systems Assist with client billing through the firm's Aderant billing system, client reporting, complete cheque requisitions, process third party invoices, trust money, and BACS authorisations Provide support to the PA team by providing cover when PA's are absent, periodically providing cover on reception, and ensuring the office environment is well maintained Candidate profile At least three years' experience in a legal support role Experience working in a litigation team preferred Strong knowledge of Microsoft Office Word, Outlook, Excel and PowerPoint, with experience using expense management, billing software and online Court platforms A confident communicator with the ability to engage with varied client and stakeholder audiences Good written communication skills with strong attention to detail Proactive and comfortable taking initiative when faced with new challenges Strong organisational skills and ability to handle multiple priorities Demonstrate a high level of discretion and confidentiality at all times Be an effective team player and have strong interpersonal skills including confidence, positivity and the ability to gain credibility Bring energy and passion to the role!
