Job Description

The Opportunity Employsure has experienced astonishing growth and success across Australia & New Zealand in the last nine years creating exciting opportunities throughout the business. This role is designed for a driven, highly organised Executive Assistant to support our CEO. Employsure provide an award-winning HR, Work Health & Safety and Bright platform which ensures ANZ’s SMEs are fully supported with their human resources/work health and safety needs through our subscription-based, cost-effective model. It is an offering that has seen us secure over 40,000 clients at group level, as well as welcome 29,000 clients across ANZ in just 9 years. This makes us the market/industry leader in our area. The Executive Assistant will play an integral part of our business and know the ins and outs of the Employsure operation. You will support our CEO with his corporate and personal needs. The role will require you to diary manage and support the CEO on a day to day basis, as well as responding to any requests for the CEO in their absence. You will also monitor their mailboxes to ensure that urgent emails are responded to and all relevant meetings, appointments etc. are diarised accordingly. Furthermore, you will meet and greet the CEO’s visitors to the business and present a professional image. Being able to maintain discretion and confidentiality is vitally important to be successful in this role. This is a highly varied role and requires someone, who has excellent organisation and time management skills. This role is ideally suited to an Executive Assistant, who is a self-starter and able to work independently, however can work with multiple stakeholders at multiple levels across our group of businesses on a consistent basis. What are we looking for? A successful Executive Assistant at Employsure is capable of: Being adaptable and pivoting at the drop of a hat with ever changing business needs. Acting as a first point of contact: dealing with correspondence and phone calls. Supporting the CEO and building trust at the highest level. Being highly organised and juggling multiple priorities at any given time. Diary management and co-ordination using Outlook calendars. Undertaking all typing of correspondence, reports, memos etc. Managing the mailbox of the CEO in line with their preferred way of working. Minute taking for operational meetings, typing up and distribution of minutes. Organising meetings (internal/external) as required with Directors, including the meeting room booking and additional requests, parking etc. are required to ensure that these are arranged and communicated accordingly. Prepare the relevant documentation required prior to the meeting. Dealing with any ad-hoc queries from either clients or internally as appropriate, ensuring the request is dealt with or referred on. Processing any requirements for hotel/travel. Ensuring appropriate messages are taken, referred to relevant person and followed up to ensure request has been actioned. To control the diary movements on a day to day basis for the CEO. Ensuring they are aware of any meetings/appointments they have booked in and providing them with a printed copy of their diary when in the office. Assist with the collating and preparation of information for attendance at internal conferences or client visits. Process all expense claims for the CEO. Manage personal travel and scheduling personal appointments and provide personal assistance on specific tasks as and when required. Client communications, preparing letters, presentations, and reports. Managing databases and filing systems. The right person will have A high level of organisational skills and attention to detail. Previous experience in a high volume, Executive Assistant role with demonstrated success. A strong understanding of the Sydney market and relationships with vendors across multiple business areas. A high level of confidentiality and integrity. Excellent attention to detail. Advanced knowledge of Outlook, Excel, Power Point and Word. To ensure that all written communication is of a high standard and grammatically correct.
